Job Title: Business Support and Administrative - Administrative Assistant 4 Duration: 12+ Months(W2 Only) Location: Remote Summary: The main function of an administrative assistant/executive assistant is to provide high-level administrative support by conducting research, handling information requests and performing clerical functions. A typical administrative assistant acts as information and communication managers for an office. Job Responsibilities: • Supervise general office duties such as ordering supplies, maintaining records management systems, and performing basic bookkeeping work. • Review and approve invoices, reports, memos, letters, financial statements, and other documents. • Review and approve corporate documents, records, and reports. • Read and analyze incoming memos, submissions, and reports to determine their significance and plan their distribution. • Prepare agendas and make arrangements for committee, board and other meetings. • Make arrangements for travel, planning meetings, etc. Skills: • Verbal and written communication skills, multi-tasking, customer service skills and interpersonal skills. • Strong ability to work independently and manage one's time. • Strong ability to keep information organized and confidential. • Strong ability in event planning. • Strong leadership and mentoring skills necessary to provide support and constructive performance feedback. • Previous experience with computer applications, such as Microsoft Word, Excel and PowerPoint. Education/Experience: • High school diploma or GED required. • 8-10 years' experience required. • Experience working with executives required.

Primary Responsibilities: • Demonstrate understanding of internal / external factors that may drive caller questions / issues (e.g., recent plan changes, mass mailings, call directing / rerouting, weather emergencies) • Ask appropriate questions and listen actively to identify underlying questions / issues (e.g., root cause analysis) • Gather appropriate data / information and perform initial investigation to determine scope and depth of question / issue • Identify and coordinate internal resources across multiple departments to address client situations, and escalate to appropriate resources as needed • Proactively contact external resources as needed to address caller questions / issues (e.g., providers, labs, brokers) • Utilize appropriate knowledge resources to drive resolution of applicable questions / issues (e.g., websites, CRM tools, Onyx, Siebel, knowledge bases, product manuals, SharePoint) • Identify and communicate steps / solutions to caller questions / issues, using appropriate problem-solving skills and established guidelines, where available (e.g., workarounds, descriptions of relevant processes) • Offer additional options to provide solutions / positive outcomes for callers (e.g., online access to relevant information, additional plan benefits, workarounds for prescription delays) • Make outbound calls to resolve caller questions / issues (e.g., to callers, providers, brokers, pharmacies) • Drive resolution of caller questions / issues on the first call whenever possible (e.g., first-call resolution, one-and-done) • Ensure proper documentation of caller questions / issues (e.g., research conducted, steps required, final resolution) You'll be rewarded and recognized for your performance in an environment that will challenge you and give you clear direction on what it takes to succeed in your role as well as provide development for other roles you may be interested in. Records messages for physician and staff accurately, with complete information required, and ensures that it is routed appropriately through Trinity Health SPHPMA Medical Group EMR system. 7. Assists patients with MyChart-related questions. Keeps current on updates, changes and FAQ's. 8. Accurately documents into SPHPMA systems. 9. Maintains familiarity with physician office, Billing Department and all extended care location basic services and hours of operation to respond to customer requests accurately and promptly. 10. Assists patients and facilities with questions related to referrals, authorizations and requisitions per established protocols. 11. Accurately completes patient forms. ESSENTIAL QUALIFICATIONS: EDUCATION: High School Diploma or GED required. Course work in insurance/billing, medical practice education or seminars are all preferred. MINIMUM EXPERIENCE: Previous experience in a combination of patient services, medical reception, call/customer Call Center (medical environment) or other customer service environment. Pay Range: $18.50-23.90 Pay is based on experience. Exempt positions under the Fair Labor Standards Act (FLSA) will be paid within the base salary equivalent of the stated hourly rates.
